In an organization, code of ethics serves one important purpose; that is setting a benchmark for an organization to follow on ethical behaviors. It is therefore important to have a well-planned implementation strategy to accompany a good code of ethics. The implementation of a code of ethics must consider the interest of all stakeholders. A code of ethics must be able to communicate with the organization agents, employees of the organization, directors, third party partners, members of the general public and potential and current investors in the organization. The communication of the code of ethics will be communicated electronically to external stakeholder through email. Furthermore, the set code of ethics will be published in Unilex Inc. official website. In this paper, an implementation plan of code of ethics of Unilex Incorporated will be covered in connection to the organization mission and vision statement and the value statement.

As seen earlier, code of conduct may affect many different groups of people. In the same way, the implementation of code of conduct can also affect several groups of people. The following is the implementation plan of Unilex Incorporated.

Starting at the top

Unilex Incorporated will start the implementation of its code of conduct starting from the organization top officials. Once the people in control of the organization can demonstrate that they value the code of conduct then the people under them will be motivated and obliged to follow. With the top managers observing the code of conduct, they will always be looking to remind their junior staff about the code of conduct making it the culture of Unilex Inc.

Internal training

After coming up with a code of ethics, it is important to let the people affected in the organization know how the code of ethics will affect them. Knowing the positive aspects of the code of ethics clears the air on the purpose of the code of ethics. Without a clear understanding of the code of ethics, employees and the rest of the staff may feel that it is being imposed on them and they will not embrace the code of ethics making it useless. Employees and other staff members of Unilex will be briefed earlier about the intension to introduce new code of ethics so that by the time it is to be implemented they will be ready for it. Training of employees in Unilex will be done by experience personnel. Training will play a significant role since it will also help the employees and other staff members at Unilex know more about ethical issues and know how to make ethical decisions. Unilex values integrity, professionalism, responsiveness to the company’s immediate environment and developing customer confidence in their products and services. Through training emphasis will be put on what the company values and how it can be achieved. Employees and staff members can be given memos on a new code of conduct but it will not have the seriousness and effect needed. Unilex will conduct an internal training program which all employees will attend on the new code of conducts. The training sessions will include a look at case studies concerning code of conduct. The training will look at possible issues that Unilex may be faced with, and how to handle them. This will give the participant a practical look at the code of conduct.

Discipline

In order to achieve the mission and vision of Unilex Incorporated, there is need to observe a high standard of behavior within the organization. In order to maintain a high standard of behavior, there is need to have a disciplinary mechanism. The disciplinary mechanism affects all that are covered by the code of ethics within the organization and the external members too. If any of the affected member breaches the code of ethics, then there will be a fair, fast and effective disciplinary action taken against them. The disciplinary action will be transparent because if there is different treatment on individuals who have breached the same code of conduct then employees will not trust the process. A damaged trust can have a negative effect on relationships in the organization and outside the organization, which can affect Unilex from achieving its goals.

Rewards and performance appraisals

Unilex Incorporated will be analyzing the performance of each employee and external groups affected by the code of conduct. In any case that employees and external stakeholders show quality performance, then they will be rewarded. Through rewards, other employees will want to copy what the rewarded employees have done in order to be rewarded too. Unilex will reward employees on merit with evidence of what they have done in order to be rewarded.

Whistle blowers

One of Unilex Inc. code of conduct is to believe in openness and honest communication. Unilex will have within the organization a group set up to speak up and question even the top official in case of breach of code of ethics. One aspect of whistle blowing is that it must be true and not malicious. Therefore, the set up group of whistleblowers must be honest and open and not fear the position of any member who breaches the code of ethics. 

            It is important that even after the implementation of the code of ethics, that there is monitoring of the process to ensure that it is being followed. Unisex will continue monitoring the employees and other involved stakeholder. With the help of the whistle blowers mechanism, focus will be put where it is necessary. Where codes are less relevant, they could be adjusted or eliminated. Monitoring and evaluation will be done through question and answer training sessions with employees who will give their opinion on the implementation process. The above implementation plan is sure to work because it covers the interest of all involved stake holders. The implementation focuses on fair treatment, reward and training, which is essential. Communication of the code of conduct and its implementation to external stakeholders through Unilex website ensures that everyone affected knows what is expected of them.
